Error message in Mac: 'Printer Offline' or 'Printer Not Responding'

The ‘offline’ message is the status indicator of whether your HP Officejet 4650 printer is connected with the Mac. Offline indicates that the Mac is unable to communicate with your HP printer. This offline message only shows up whenever the printer is powered off, or when the USB cable has been disconnected from the Mac.

The ‘Printer not responding’ is seen when attempting to print.

Step 1: Checking if the Mac & the Printer are connected.

  1. You have a USB connected printer:

Disconnecting & reconnecting the USB cable from the HP printer & the Mac.

  1. Turn off the printer by pressing the Power button and wait for five seconds.
  2. Detach the USB cable from the back/rear side of the printer.
  3. Turn on the printer by pressing the Power button. You will notice the printer making some noise as it turns back on and might even start printing pages. Wait for the printer to become idle & silent before continuing further.
  4. Wait for five seconds before reconnecting the USB cable to the printer. Ensure that the cable port is inserted and fastened securely. If the printer starts printing, allow the printing to complete before continuing.
  5. Try to print again. If the printer prints, you can stop this troubleshooting process. If the printing job gets stuck again, proceed to the next step. 
  1. You have a network connection printer:

Your HP printer is connected to your Mac computer, if your HP printer displays in the Printer list on your computer. Following the steps below, you will open the Printer list to see if your HP printer is connected.

  1. Restart your HP printer and wait for it to becomes idle.
  2. If your HP printer connection with the network is not restored after restarting your printer, then restart your network router. Before you restart the router:
    • Finish or terminate all programs and activities that are running on the network and network connected devices.
    • Turn off the router and disconnect the power cord from the router and wait 10 seconds.
    • Now reconnect the router’s power cord and switch it on & wait for the router to initialize and setup a new network connection to your Internet Service Provider(ISP). The blinking/flashing of the Internet activity light on the router will indicate a normal state of your network connections before continuing.
  3. Now restart your Mac computer and wait for it to be idle.
  4. When the Mac computer has completely restarted, click the Apple icon , and then click System Preferences.
  5. Click Printers and Scanners, Print & Fax, or Print & Scan to open and check the Printers
  6. Select your HP Printer in the Printers list, and then select the Open Print Queue.
    • If your HP printer is not seen in the Printers list, and if you don’t see any options for your HP printer is seen, then there is no network connection. Now stop troubleshooting, and then follow the instructions for the troubleshooting steps of connecting your HP printer to the network.
    • If your HP printer is seen in the Printers list and if you see the options relating to your HP printer, then your printer is connected to the network. Now retry printing a document and move forward to the next troubleshooting step if the printing problem is still seen.

Step 2: Resetting your 123 HP Officejet 4650 printer.

Performing a power reset to your HP printer forces the printer to reset its stored values in the firmware. This power reset helps your HP printer when it is not connecting with the Mac computer.

  1. Ensure that your HP printer is idle and not making any noise or sounds before continuing to the next step.
  2. While the printer is switched on, pull out the power cord from the back of the printer.
  3. Pull out the power cord from the power socket/outlet it was connected to.
  4. Wait for about 60 seconds before continuing to the next step.
  5. Plug in your printer’s power cord back into the power socket/outlet.
  6. Connect back the power cord back into back of your HP printer.
  7. Press the Power button on your HP printer if it does not turn on by itself.
  8. Retry printing a document and check what happens.
    • If your printer successfully prints the document, you can stop the troubleshooting process.
    • If the print job does not print, then move onto the next step.

Step 3: Removing the multiple printers from the printer list.

Look for the multiple HP printers that you see in the Printers list, and then remove any extra entries except for the HP printer entry that is seen in the idle status.

  1. Search on the Mac search for ‘Print’, and then select Print & Fax, Print & Scan, or Printers & Scanners in the list of results.
  2. Find the HP printer names that matches your HP printer name from the Printers list.
  3. If you find more than one duplicate printer queues for the same printer, remove all the extra duplicate printers by clicking them one at a time, and then clicking the minus button [ – ]at the bottom of the list. Keep one ‘idle’ printer in the list that matches your HP printer if available and use this as the Default
  4. Retry printing a document from your Mac.
    • If your HP printer prints successfully, then you can stop this troubleshooting process.
    • If the printer remains as offline or displays an error message, continue to the next step.

Step 4: Clearing out the existing Print Queue and adding your 123 HP Officejet 4650 printer.

You will now remove the printer queue from the Printers list, and add your HP printer again. Doing this will initiate a new printing session.

  1. Check if your Mac computer is connected to the Internet.
  2. In the list of Printers, select your HP printer, and then select the Minus button [ – ] from the bottom pane to remove this printer from the list.
  3. Now you can add a printer into the list by clicking the Add button [ + ].
  4. Look out for your HP printer that comes up in the Printers list, once you find it you must select it and click the Add to add your HP printer. Makes sure you do not select a HP Fax driver.(Note: If your HP printer is not seen in the Printers list, then check if your Printer is connected, switched on, lights up, and is idle &ready to print.)
  5. Select the Print Using or Use option,and then click on the name of your HP printer.
    If your printer is not seen in the Print Using or Use list, then open the URL 123.hp.com/oj4650 to get the most updated and latest driver. The new HP printer queue is seen now in the Printers list in an idle status.
  1. Retry printing a document from your Mac.
    • If your HP printer prints successfully, then you can stop this troubleshooting process.
    • If the printer does not print but instead remains in the offline or displays an error, continue to the next step.

Step 5: Resetting your Mac’s entire Printing system.

When you see that all the above troubleshooting steps have not helped resolve the issue, try resetting your Mac’s printing system.

  1. Open the Print & Fax, Print & Scan, or Printers & Scanners. Here you must Right-click (or Ctrl + click) the blank space in the Printers List, and then select the ‘Reset printing system…’
  2. Now click the Reset in the confirmation window that pops up.
  3. Enter your Mac’s Administrator Username and Password, and then click OK.
  4. Wait while the printing system is completely reset and no printers is seen in the Printers list.
  5. Now add your HP printer to this Printers list pane again as shown in Step 4.
  6. Retry printing a document from your Mac.
    • If your HP printer prints successfully, then you can stop troubleshooting.
    • If the error still displays, then continue troubleshooting your HP printer.

Print Jobs getting stuck in Print Queue (Windows)

Follow the troubleshooting steps below for your HP Officejet 4650 e-All-in-One series printer when printing from a Windows PC.

This is when the printer cannot print a job that is stuck in the Windows print queue. These stuck print jobs don’t get cancelled or get deleted and end up preventing further print jobs from getting printed. This happens due to a variety of reasons, such as power outages in between a print job execution process.

Step 1: Deleting the stuck print job files and restarting

Windows creates a file whenever a print job is sent to the printer, but sometimes these files get corrupted and cause problems. To reset the corrupted printing environment, you must first delete these stuck print job files manually and restart both your computer and your printer.

  1. Press the Power button to switch off the printer and then pull out your printer’s power cord from the power outlet/socket.
  2. Make sure to save any unsaved files and work that is being worked on in the PC. This is to make sure your documents are not lost when the print jobs are deleted.
  3. Using any of the following methods, you can open Windows Services
    • By searching Windows for services, and selecting the Servicesin the list of search results.
    • Press the Windows key + R, type msc in the window that opens, and then click OK.
  1. Now when the Services window pop up, scroll across the list to find the name ‘Print Spooler’.
  2. Now you should right-click Print Spoolerand select
  3. After this, now the service has been stopped. Close the service window and open Windows Explorer to browse to C:\Windows\System32\Spool\PRINTERS.
  4. Inside the PRINTERS folder window that opens, delete all the files inside.
  5. Now you must shut down the Windows computer.
  6. Once you’ve unplugged your printer for more than 60 seconds, you can plug back the power cord to the printer and the power outlet/socket.
  7. Power on your printer using the Power button on the printer.
  8. Switch on your computer and wait for Windows OS to initiate and open.
  9. Retry printing a sample document and see what happens.
    • If you see the printer successfully printing the document, then you’re done with this troubleshooting process.
    • If you see the print job becoming stuck again, then move forward to the next step.

Step 2: Using HP’s Print & Scan Tool (HP Print & Scan Doctor)

HP has provided a free printing & scanning tool that helps in diagnosing and resolving most printing and scanning problems. You can download and run the HP Print & Scan Doctor, and it’s very helpful in quickly detecting and automatically perform several troubleshooting tasks that are known to resolve issues like print jobs getting stuck. You can download the HP Print & Scan Doctor using your Internet Browser downloading tools from the website.

After installing, you read and execute the onscreen instructions and tasks seen in the HP Print & Scan Doctor to automatically find and fix any printer problems. After fully running the Doctor tool, retry printing a sample document and see what happens.

  • If you see the printer successfully printing the document, then you’re done with this troubleshooting process.
  • If you see the print job becoming stuck again, then move forward to the next step.

Step 3: Reinstalling your Printer’s Print Driver

When you still see the print jobs getting stuck when printing, you can move towards resetting the printing software system files by removing and reinstalling the printer’s print driver.

Note:If your computer is using Windows XP or earlier versions of Windows, you will use a different method to resetting the printer software by using the Add/Remove Programs list in Windows Control Panel. Here you can install the printer software from either the printer installation disc, a full feature software download from HP’s Web site(If available), or by adding the printer through Windows Add hardware wizard(a built-in driver).

  1. If your computer is connected with the printer with a USB cable, detach the USB cable from the printer.
  2. You can search for print devices in Windows by clicking Devices & Printers in the list of results.
  3. Once you have found your Printer in the list, right-click the printer icon, and click Remove Device.The computer will now remove the printer software.
  1. Now we must restart the Windows computer to complete the uninstallation process.
  2. To get a copy of the printer software to install again, you must go to the HP Support – Software & Drivers (123.hp.com/oj4650 or 123.hp.com/setup 4650) website to find and download printer software that matches the HP Officejet 4650e All-in-One series model.
  3. Once you’ve downloaded the software. Install the software by following the onscreen instructions on the HP website.

(Note:Only connect the USB cable into the computer only when instructed to during the software installation process.)

Now you can test print a document after installation is done, so if you see the printer successfully printing the document, then you’re done with this troubleshooting process and successfully resolved the issue.
